Backing Up Your Data Safely

Step-by-Step Guide

Overview

Data loss from hardware failure, malware, or accidents can be devastating. Regular backups protect your photos, documents, and more. This guide shows you how to back up your data using free tools and simple steps.

External hard drive for backups

Step 1: Choose a Backup Method

You can back up to an external hard drive, cloud storage, or both for extra security.

  • External Hard Drive: Affordable and fast. Buy a reliable drive (e.g., Western Digital, Seagate) with enough capacity (at least 1TB).
  • Cloud Storage: Services like Google Drive or OneDrive offer remote backups. Free plans (e.g., 15GB for Google Drive) are good for small files.
  • Combine both for redundancy. Store critical files in the cloud and everything else on a drive.

Note: External drives are physical and can fail, so keep them in a safe place.

Step 2: Back Up with Windows

Windows has a built-in tool called File History for easy backups to an external drive.

  • Connect your external drive to your PC.
  • Open Settings: Search for “File History” in the Start menu and select “Backup settings.”
  • Click “Add a drive” and select your external drive. Turn on “Automatically back up my files.”
  • Click “More options” to choose folders (e.g., Documents, Pictures) and set backup frequency (e.g., every hour).

Tip: Check your backup occasionally to ensure it’s working. Open the drive to verify files.

Step 3: Set Up Cloud Backup

Cloud backups are great for accessing files anywhere and protecting against physical drive failure.

  • Sign up for a cloud service like Google Drive ( google.com/drive ) or Microsoft OneDrive ( onedrive.com ).
  • Download and install the service’s desktop app. Sign in with your account.
  • Choose folders to sync (e.g., Desktop, Documents). Files will upload automatically when online.

Warning: Free cloud plans have limited storage. Upgrade to a paid plan for large backups.
